Brief: Best Practices and Example

The brief serves as the text to introduce your event to your suppliers.
It will appear in the email invitation they receive, as well as when they accept the invitation and access your event for the first time.

Below, you’ll find key elements to consider including in your brief, based on best practices.
An example is also provided to guide you in creating your first brief.

Dear valued Supplier, 

We invite your company to respond to an invitation to tender for the purchase of X

Company presentation and activities
[COMPANY] specializes in [INDUSTRY/SERVICE/PRODUCT FOCUS] and has been operating for [NUMBER] years, with a global presence of [NUMBER] sites/locations. As part of our commitment to [PURPOSE/OBJECTIVE/STRATEGIC GOAL], we have an ongoing requirement for [NEEDS/RESOURCES/SERVICES].

Tender Introduction 
[COMPANY] is currently evaluating its offer of X for purpose/objectives X for the following elements:
  1. Element 1- from [date]
  2. Element 2- from [date]
  3. Any other relevant elements

The process:
We ask you to post your offers on this tool. This will allow us to evaluate your proposal more efficiently and transparently.
In order to identify the most suitable suppliers, you will be asked a number of initial questions to assess your capabilities, followed by an online consultation.
  1. Step 1: You will be asked to complete our “X” questionnaire. In particular, you will be asked to sign X.
  2. Step 2: You will take part in an online pricing consultation. Be sure to log in and complete your offers by the end of the deadline.
