I would like to close my Sourcing event. How can I do this?
Solution
A Sourcing event can either be closed manually by the host or a collaborator with edit access to that event, or the event can be set to automatically close a set amount of time after all deadlines in the event have passed.
Automated Closure
Sourcing events can be set to automatically close after all deadlines have passed and a set period of time has gone past with no actions in the event. This is something the Superhost of the account or somebody with the relevant admin permissions in the account can setup.
You would need to go to Admin > Sourcing Settings
The first option you will be presented with is Close Event under the Timescales heading
Here you can select how many days, weeks, months or years the system should wait before automatically closing the Sourcing event. Note that as soon as you amend this the change will take effect immediately.
Manual Closure
Alternatively the host of the event, or a collaborator on the event that has been granted edit access can close the event manually.
From within the event
To close an event from within the event in the top left you will see a drop down which will say Current. Click on this and then click on the Close Event option.
You'll then be presented with this pop-up. If you're certain you wish to close your event click on OK.
Then you will see the drop-down at the top has now changed to Closed.
Note that if you close a Sourcing event by accident or if you need to re-open it at a later date if you click on the drop-down again you will now see the option Re-open which you can use to re-open the event.
From the Event Overview tab
If you click on the Events tab in the header bar you'll be shown all of your Sourcing events. On the left of each event you'll see a drop-down. If you click on this you can then select the option to close the event.
You'll then be presented with this pop-up. If you're certain you wish to close your event click on OK.
Note that if you close a Sourcing event by accident or if you need to re-open it at a later date if you click on the drop-down again you will now see the option Re-open which you can use to re-open the event.
Things to be aware of...
- If an event is in a Draft state you will not see the option to Close. An event needs to be in a Current state in order for it to be able to be closed.
- If all of the deadlines within an event have not yet passed you will not have the option to close the event.
