How do I submit bids in an RFQ?

What's the issue you're facing?

I have been invited to an RFQ event and would like to submit my bids. How can I do this?

Solution

Firstly you will need to navigate to your event within the Market Dojo portal and then click on the RFQs tab. 

This will then open up the page where you can enter your bids. Depending on how the host of the event has set the lots up this can look one of 2 ways. 

Simple Lots

If the host of the event has set the lots up using our Simple Lots tool it will look something like this. 
You will need to click on the Enter Bid button for each line item that you would like to place a bid on then enter the value of your bid and then press Submit. 
You will then be asked to confirm your bid. if you are happy press the Submit button. 
Please note though that once you have submitted your bid you will not be able to change this without speaking to the host of the event. 

You will then see under the Bid Status column next to the line item you have bid on that the bid has been received. 

You will need to do this for each line item you wish to bid on.

For any line items that you do not wish to bid on you will need to click on the Reject Lot button. 
Once you click this it will ask you if you are sure. If you are click on OK. 
Please note that if you reject a lot you will not be able to change this without speaking to the host of the event. 
Once a lot of rejected it will look like this within the Bid Status column. 

Once you have placed bids on all lots/rejected all lots you will see this popup. 

You have now completed the RFQ section of the event and the RFQs tab will show a green tick next to it. 

Advanced Lots

If the host of the event is using our Advanced Lots feature the layout of the lots can look a lot different to the Simple Lots above and the layout will be dependant on how the host has setup the event. 


To enter your bids on an event where the host is using Advanced Lots you can do this in one of two ways. You can either manually enter your bids or you can download the bid template, fill your bids out in Excel and then upload the template back to the event. 

Manually entering your bids

To manually enter your bids click on the Enter Bid button. 


The page will then open to a view that will allow you to then enter your bids. 
You'll need to enter the details that the host has asked for within each of the empty fields. 

Once each field has been filled in you will see this popup. If you are happy with your bids you can press the Submit button. 


If you'd still like to make changes press Cancel. Then once you have finished making your changes press the Submit button at the top of the lot. 

Note that if the host has allowed partial bidding you will be able to leave line items blank if you do not wish to bid on them. If that is the case you will need to ensure there are no entries in any field within that line item. 
The best way to be sure of this is to press the delete button on the line item you wish to leave blank and this will remove any entries you have made for that line item. 

And then if you are sure press OK on the popup that appears and your entries will be removed for that line item. 

Note that if you go to submit and the Submit button is greyed out, if the event is partial bidding you will see the blue banner next to the Submit button advising you to fill out all cells for each line item you wish to submit. 
If you are seeing this then it is likely there is line item somewhere with an entry where not all cells within the line item have been filled out so you would need to look through your entries and either need to fill in any missing cells in or delete them if you do not wish to bid on that line item. 

If the event is not a partial bidding event you will be required to fill in every cell and the blue banner next to the Submit button will advise this. 

Once you have filled in all necessary cells you'll be able to press the Submit button. Once you see the below appear you have successfully submitted for that lot. 

Onse submitted the lot will then look like this and you'll see the blue Submitted banner next to the lot name.


Downloading and Uploading the bid sheet to upload your lots

The other option you have available to you for placing your bids is to download a bid sheet of the lots, fill out the Excel spreadsheet and then upload the filled out spreadsheet to the event. 

To download the bidsheet on the RFQs tab on the Use Bid Template drop down select the Download option. This will then download an Excel 

Once download the bid template will look something like this. You need to ensure that you only make changes to the tabs with the lots, so in the example below that would be the 1. Example Lot tab. 


When you click on the tab yuo will then see the structure of the lot, similar to this.  

When entering your bids, you can only add entries to the cells highlighted in yellow. You also cannot add any tabs or make any other changes. If you do add anyting anywhere else, when you try to upload the file back to the event the upload will fail and advise you that the file you're uploading does not match the structure of the lots. 

Once you have filled out all of the relevant cells you can save your file and then upload it. 
In order to upload it on the Use Bid Template dropdown select the Upload Bids option.

Then click on the Upload buttton to browse for the file on your machine. Once selected click on the Upload Bids button. 

If everything in the file is valid then this will then upload and populate the lots and you will see a message appear advising that your bids have been added successfully. 

You can then press the Submit button to submit your bids.
