Creating and managing a Quick Quotes event

How to create a Quick quote

1. Create a new Quick Quote: 


Log in to the Market Dojo platform
In the Modules drop-down click on Sourcing
Then click on Quick Quotes
 
Now click on the New Quote button
 

Tip: Once logged in to your account, you can access the Sandpit to create a Quick Quote in the same way as described above. The Sandpit is your test environment.
You'll also find options for inviting sandpit test participants and accessing their view.
 

2. Set up the details of the quote: 

Name of the quote, 
Deadline,
Event description in the grey text box.  This description of your quote is for your supplier’s information. Please add all the important keys information in the brief such as keys date, important documents to read, objectives of the event etc. 
 

3. Decide if you would like to attach any documents to the event. 

These can either be documents you drag and drop into the event or documents you already have uploaded in your document library

4. Request prices from your suppliers. 

If you are looking to get quotes click on the I want to get prices option.
 
Select the currency. 
Add the item title, unit of measure and its quantity. 
Example: I would like to request the price for 10 (Quantity) pack of 5 (Unit of Measure) Mouse pads (Item Title)  
Click on Add Another Item to add another item line. 
 

5. Ask questions to your Suppliers

If you want to ask questions, click on the I want to ask other questions option. 
Add your question and select the Type of response you need: yes/no, text or document.
 

6. Invite Suppliers

Then scroll down to the Who to Invite, by default you can only invite the listed suppliers.   

Invite a supplier by email 

To invite a supplier not previously invited, enter directly their email address. If you can’t find this need to be activated on your account. 
If this is not activated, please contact your Super User.

  Enable supplier invitation by email (for Super Users)

The Super User activates this option by clicking on the pencil icon. 
 
A window will open, in which you simply need to authorize email invitations.
 

7. Launch your request for quotes

Now click on Get quotes! and this will then send invitations to the event to your invited suppliers

1. How to allow resubmission of a questionnaire

If a supplier needs to revise their submitted questionnaire responses, you can enable resubmission as the event host. To allow this:
Go to the Participation List section.
Scroll to the bottom of the supplier's submitted answers.
Click on the Allow Resubmission option.
This will reopen the questionnaire for the supplier to make changes and resubmit.
 

2. How to allow resubmission of a price

If a supplier submits a bid by mistake or wishes to provide an alternative quote, you have the option to delete their bid. To do this:
Go to the Participation List section.
Locate and click on the bid you want to delete.
Click on the bid itself 

 

A pop-up window will appear displaying all the details related to the selected bid. At the bottom of this window, you’ll see a Delete icon.
Clicking this icon to remove the bid.
Please note: Once a bid is deleted, it cannot be recovered.
 

3. How to send a message to a supplier 

During the quoting process, suppliers can communicate with you directly through the tool. This keeps all communication centralised and easily accessible for future reference. To send a message:
Scroll to the Messages section at the bottom of the event page.
 
Choose whether to send your message to specific participants or to all suppliers involved.
 
We recommend using the Messages feature for any negotiations after initial pricing. Alternatively, you can create a new Quick Quote to manage second or third-stage pricing rounds.
 

4. How to edit a live Quick Quote

To edit your live Quick Quote, click on the Edit button in the bottom right corner. 
  
The event will enter Edit Mode, which will be confirmed by a banner at the top of the page.
 
Note: While the Quick Quote is in Edit Mode the event is on Hold, meaning suppliers cannot submit their offers or questionnaire responses.

Once you have made the necessary changes scroll down to the bottom and click on the Go live button to publish your updates.


Once a Quick quote is finished


1. How to award lots 

To award your lot through the tool: 
Click the Award Lots button. 
A pop-up window will appear. From the drop-down menu, select the participant you wish to award the lot to. (Note: The supplier with the best price is selected by default.)

To notify the supplier:
Click Create New Award Notice.
You can edit the pre-filled message on the left side of the screen; the email preview will appear on the right.
When you're ready, click Send Award Notice.



 
Tips: 
To send different messages to multiple suppliers, repeat this process for each one.
Unsuccessful participants can be informed using the Messages feature.

2. Export report 

Once the deadline has passed, an Export Report button will appear in the bottom-right corner of the event page.
 
Clicking this button will generate an Excel file, which you can use to analyse the results or share with stakeholders. 

3. Reopen a completed Quick Quote

This will allow suppliers to access the documents and information related to the quote again.
Open the Quick Quote. Top right click on Re-open
