How to add documents to your event

What is the issue you're facing?

I would like to add documents to my Sourcing event. How can I do this?

Solution

To add documents to a Sourcing event you can do this in the following way:

If the event is not yet live

Click on the Create Documents tab


Then click on the Add New Documents button


You'll then be presented with this pop-up. 


Using the drop down at the top you can leave this on Add Document Manually which will allow you to either drag and drop the file you wish to upload into the File Upload section or you can click in that section to browse for the file on your local machine. 

Once you have selected your file or files you will see them appear within the window.


You now need to decide if you would like to include the selected files in the invitation email that is sent out when you make the event live. If you do ensure that the Include in invite option is ticked.
*Note that if you have a pre-qualification questionnaire, until suppliers have submitted the questionniare and you have accepted their answers they will only be able to see documents where you have chosen the option to includde in invite. 

Note : That the maximum combined size of the documents you can include in the invite is 5 megabytes. 


If you want to share this document with every supplier click on the Upload Documents button. This will then ensure that every supplier will be able to see all of these documents from the moment they receive the invitation. 

You'll then see the document or documents you have uploaded listed in your Documents tab. 


If you hover over the green world icon to the left you can see that the document has been shared with all participants. 


If however you only want to share different documents with different suppliers click on the Share With button. 


Then un-tick the Shared with all option and this will then allow you to select which participants you would like to share this with. Select all that are required and then click on the Upload Document(s) button. 


Once that's done if you then hover over the icon next to the document name you can see which participants this document has been shared with. 


Now when you take the event live for every document that was added that had the Shared with all tick box selected suppliers will be able to see it. 
For every document that was only shared with specific participants, only those participants will be able to see the document.


If the event is already live

If the event is already live and you would like to add new documents go to your event and click on the Documents tab.


The put the event into Edit mode by clicking on the Edit button. 


The steps are then the same as they are for if the event was not yet live.
