Participant Collaborators - Host Configuration & Management

Participant Collaborators

Market Dojo are excited to announce the release of participant side collaborators.
It can be difficult to know who to reach out to within your supplier businesses, and even harder to encourage to ensure that the right person is completing the relevant portions of your RFI.
With the introduction of participant collaborators; suppliers will now be able to manage who has access to the tender from their side, inviting those with the right knowledge to contribute to the submission.
Hosts have the ability to audit this access, but with the control given to suppliers, the management resources needed for ongoing events has been greatly reduced.

Activating the Functionality

For companies with a Pro Sourcing licence or above, a new option will appear under the Admin > Sourcing Settings page.
It is labelled 'Supplier Collaboration' and comes with a brief summary help text of what the feature entails.
Setting this to 'true' will turn on the feature for all Sourcing events.

Host-side Event Management

There are no changes to the creation steps for an event.
One the invite has been accepted by the initial invitee, the collaborator options will become available from within the individual participant view.
(Work is underway to make this functionality available in Draft mode and prior to acceptance)

A new tab is shown on the right of each participant pop-up for 'Collaborators'
Here you can see all of the contacts that have been invited to complete that supplier's submission.
You can add additional collaborators, and switch which of the collaborators should be the 'Lead'.
Only the Lead Collaborator will be permitted to bid within RFQs and Auctions, and lead switching will not be possible after the first bid has been placed.

Messages and documents are seen at the supplier level, with all collaborators able to view and interact as the lead would.
Questionnaires can be contributed to and submitted by any of the collaborators.

Supplier-Side Management

Participant users will see a new tab on the right hand side within your Sourcing events for 'Collaborators'

They can add additional collaborators, and switch which of the collaborators should be the 'Lead'.
When selecting to switch lead, the new nominee will receive an email asking them to accept their promotion to the Lead position.
